The business owner, the ATM provider or an agreed cash-loading service may replenish an ATM. The arrangement needs to identify both who supplies the money and who physically loads it. Those are separate responsibilities.
Before you agree to an ATM placement or buy a machine for your Illinois business, ask for the cash plan in writing. An equipment agreement alone does not tell you who will keep the ATM funded.
Funding the cash and loading it are different jobs.
Cash funding means supplying the money held in the machine for withdrawals. Replenishment means physically refilling it. The same party may do both, but that should be confirmed rather than assumed.
Ask who monitors the cash balance, who can access the machine and who handles reconciliation. The answer should match your operating agreement and the reporting available through your processor.
What changes with placement?
In an ATM placement arrangement, a provider supplies the equipment under the agreed terms. That does not automatically establish who supplies or loads the cash. Review which services are included, which responsibilities remain with your business and whether any additional charges apply.
If a proposal includes cash loading, discuss access to the premises, the replenishment schedule and the contact to use when the machine needs attention. Do not assume that a service available at one location is available at yours.
What changes when you own the ATM?
When buying an ATM, include cash funding and replenishment in the operating plan alongside installation, processing, maintenance and supplies. Discuss whether you intend to load it yourself or need another arrangement.
Confirm the proposed plan before selecting a model or configuration. The business address, hours, expected usage and available access for loading all belong in that conversation.
Plan around your actual hours.
Bring any existing withdrawal records and explain when your business is busiest. Ask how cash levels will be checked and how weekends, holidays or an unexpected need for replenishment will be handled. Agree on responsibilities and service availability before relying on a particular schedule.
For a licensed Illinois dispensary, also identify the business type when reviewing the proposed cash and processing arrangements. Eligibility and required documentation must be confirmed for the location.
Questions to settle before signing.
- Who supplies the cash, and who physically loads the ATM?
- Who monitors levels and requests replenishment?
- What access is needed, and who is authorized to enter the machine?
- Which cash-loading services and costs are included?
- Who handles reporting, reconciliation and support?
- What happens if the ATM runs out of cash outside the planned schedule?
ATM processing is another part of the setup. Confirm how reporting and settlement work, without treating processing as a promise that cash loading is included.
